When a booking includes a Guest Service, the system checks the available stock for that service. If the requested quantity exceeds the available stock, the booking (of the guest service) cannot be completed as requested. This article explains how the system handles bookings when the requested quantity exceeds the available stock.
In the Booking Details
As a host, you may sometimes need to add a Guest Service to a specific booking based on the guest's request. However, the requested quantity may exceed the available stock for that Guest Service. Since the available stock is not displayed directly, you may only find out that the stock is insufficient after entering the requested quantity. In this case, a red message will appear under the QTY section. The message says, ‘Available remaining stock is 3’. This means that you can book a maximum of 3 units of this Guest Service item.
In Guest Portal
As a guest, you may sometimes want to add guest service to their confirmed booking. However, the requested quantity may exceed the available stock for that Guest Service. Since the available stock is not displayed directly, you may only find out that the stock is insufficient after entering the requested quantity. In this example, a red message will appear under the Quantity section. It says, ‘Available remaining stock is 2’. This means that you can book a maximum of 2 units of this Guest Service item.
In Direct Booking (Package)
A property may have both base rates and package rates. Package rates may trigger an insufficient stock error message when booked through Direct Booking. For example, a room may accommodate up to 10 guests, but a package rate may include a guest service for only 6 guests. If the booking has more than 6 guests, an insufficient stock error message will appear because the included guest service does not cover the additional guests.
Agent Booking Request on PMS
As a host, properties require host approval before an agent can confirm a booking through the Agent Portal. The booking request may also include guest services that exceed the available quantity. There will be red lines around the numeric stepper and red message under the table.
In Agent Portal (Package)
A property may have both base rates and package rates. Package rates may trigger an insufficient stock error message when an agent creates a booking request. It happens because the selected package includes guest services with limited stock.
