What is an Insufficient Stock List?

The Insufficient Stocks list shows guest service items with insufficient availability for upcoming confirmed bookings. As a host, you can use this page to identify affected bookings and restock items to prevent service disruptions. The Insufficient Stock page contains the information of the insufficient stock along with other details.


Access Insufficient Stock List

  1. Log in to your Delta PMS account.

  2. Go to the sidebar menu on the left side.

  3. Find STOCK MANAGEMENT > Guest Services > Insufficient Stocks

What Does Insufficient Stocks Page Contain?

  • Property Dropdown: In this dropdown, you may choose between All properties or a specific property to show the insufficient stocks.

  • Search bar: You can search for a certain guest service item to see its availability.

There is also a table that contains the following information:

  • Guest Service Item: Names of guest service item with insufficient stock

  • Total Scheduled Qty (Quantity): The stock item that has been confirmed to be given to guests on a future scheduled date

  • Total Available Qty (Quantity): The predicted amount of a stock item available based on actual quantity deducted by future scheduled bookings of the item at the moment. Use this amount for Guest reservation to avoid excessive bookings.

  • Total Shortage Qty (Quantity): The quantity required by confirmed bookings that cannot currently be fulfilled due to insufficient availability.

  • Total Affected Bookings: The number of confirmed bookings affected by the insufficient stock. If you click the text link, the Affected Bookings Due to Insufficient Stocks popup will appear. It contains these details:

    • Guest Service Item name

    • Category of the Guest Service

    • Stock Type (Selling or Rental Type)

    • Total Affected Booking

    • Total Scheduled Qty

    • Available Qty: There is a tooltip of the available quantity definition. Available qty=Actual quantity - (reserved qty + scheduled qty)

    • Total Shortage Qty

    • Search bar used to search for the Booking ID of an affected booking.

    • Booking IDs: The Booking IDs of the affected bookings. If you click the text link, you will be redirected to the Booking Details page of that specific booking.

    • Scheduled Qty: The scheduled quantity for each booking.

    • Scheduled Service Date: The scheduled service date for each Booking ID.

  • Lastly, there is an Action column with a “Restock” button. You may click this button to restock the insufficient stock. To restock the insufficient, please refer to this article.


Note: The Insufficient Stock page displays bookings from OTAs where the requested Guest Service quantity exceeds the available stock. Since Guest Service stock information is not provided through OTA bookings, these bookings may result in insufficient stock and require you to adjust the stock from your side.
