How to Create a Stock Item

What is a Stock Item?

A Stock Item is a Guest Service whose availability can be managed through Stock Management.

You can configure the item's basic information, pricing, availability type, stock type, properties, quantity, stock threshold, and booking availability.

A Stock Item can be configured as either:

  • Stock Managed — the item's quantity is limited and tracked.

  • Unlimited — the item has no quantity limit and does not require stock tracking.


How do I create a Stock Item?

Step 1: Open the Create Stock Item page

  1. Go to Stock Management > Guest Service > List.

  2. Click Add Item.

  3. The Add Guest Service page will open.

  4. Complete the Item Details section first. The creation flow consists of two steps:

    • Item Details

    • Stock Availability

  5. Enter basic information for the Stock Item.

  6. Configure the price and service unit.

  7. In the Others section, set Availability Type. There are two options:

    • Stock Managed: when the item has a limited quantity that needs to be tracked and potentially restocked.

    • Unlimited: when the item does not have a quantity limit.

  8. Select Stock Type. Stock Type is only available when the Availability Type is Stock Managed. Select the type that matches how the item is used.

    • Selling Item: when the stock is consumed after one use and cannot be returned. Once the item is used, the quantity is deducted from the available stock.

      Example: Breakfast.

    • Rental Item: when the item can be used multiple times and returned. The quantity is deducted when the item is being used and can become available again after the applicable service date has passed.

      Example: Baby Crib.

  9. Configure Approval. You can determine whether purchases of the Stock Item require Admin approval.

    • Does Not Require Approval: Guests can book the Guest Service item from the Guest Portal without waiting for hosts’ approval.

    • Requires Approval: Guests need to wait for host approval when book it from the Guest Portal.

    Note: The approval requirement does not apply when the item is purchased as part of a package.

  10. If you choose Requires Approval, set the approval periods by clicking Set period.

  11. Select the Start Period (mandatory) and End Period (optional). You may also add additional period(s) or remove it as you need.

  12. Click Confirm. At least one approval period must be configured when approval periods are used.


Step 2: Configure Stock Availability

💡 Important: Quantity Type Cannot Be Changed Later

Once you have completed the Item Details, click “Continue” to proceed to the Stock Availability section.

Independent Quantity

Independent Qty means each property should maintain its own stock quantity. If you choose Independent Qty, follow these steps below:

  1. Select Independent Qty.

  2. Click Assign Property.

  3. Select the property you want to configure.

  4. Enter the Available Qty for that property.

    • For Stock Managed items, enter the available stock quantity.

    • For Unlimited items, the quantity is shown as Unlimited.

  5. If you select Stock Managed, configure the Low Stock Threshold. You can choose between:

    • Follow global setup to use the global threshold.

    • Set independently to define a threshold specifically for the property.

  6. Set the Item Sale Status to ‘Bookable’ status for the property.

  7. Add Remarks (optional).

  8. Repeat the configuration for each property you want to assign.

Note: With Independent Qty, each property has its own stock quantity. For example, if Property A has 10 units and Property B has 20 units, their quantities are managed separately.

Shared Quantity

Shared Qty means multiple properties should use the same stock quantity. If you choose Shared Qty, follow these steps below:

  1. Select Shared Qty.

  2. Enter the Available Qty for the shared stock.

  3. If you select a Stock Managed, configure the Low Stock Threshold. You can choose between:

    • Follow global setup to use the global threshold.

    • Set independently to define the threshold for the shared stock.

  4. Add Remarks (optional)

  5. Go to the Properties section.

  6. Select the properties that can share the stock.

    • You can search for a property by name.

    • You can assign individual properties.

    • You can choose more than one property.

    • You can assign all available properties.

  7. Review the assigned properties.

  8. Check the Bookable status.

  9. Click Finish when the configuration is complete.

Note: The Available Qty is shared across all assigned properties. It is not multiplied by the number of properties.

Example

You create a Stock Item with:

Available Qty: 20

Assigned Properties: Property A, Property B, Property C

All three properties share the same 20 units.

If the stock quantity is updated, the change is reflected across all properties sharing the stock.
