This function allows you as the host to ensure that all property-related financial activities are accurately reflected in the reports. It is useful when there are transactions that were not automatically recorded, such as manual payments, late updates, or adjustments. This feature is available in the Rental Expense, Other Debits, Other Credits, and Owner Profit Payout section.
Step 1: Navigate to Owner Report menu
Log in to your Delta PMS account.
Go to the sidebar menu on the left side.
Click Owner > Owner Report > Reports tab.
Step 2: Select the room for which the record will be added or imported
Find the target owner or property name.
Click the “See details” button in the target owner or property row.
The list of Owner Agreements will appear. Find the specific room for which you want to add or import the records.
Click the “View report” button in the target room row. You will be redirected to the owner report details page of that specific room.
Step 3: Set the period of the report
Select the year and month of the report’s record to be added or imported. By default, it will be set to the current year and month.
Step 4a: Add record
Go to the Transactions tab.
Scroll down to a specific section (Rental Expenses / Other Debits / Other Credits / Owner Profit Payout).
Click the “+ Add Record” button.
For example, add a record in the Rental Expenses section. Input Rental Expenses popup will appear. You need to fill in these details before adding a record
Booking ID: select the booking ID of the booking that you want to record manually.
Recognition Date: input the time of the item activity.
Item Name: select the name of the item.
Description: select the description of the item.
Amount: select the amount for the item’s cost.
Click the “Add” button after you fill in all fields. You will see a notification says ‘A new record has been added’
Step 4b: Import record
Scroll down to the selected section (Rental Expenses / Other Debits / Other Credits / Owner Profit Payout).
Click the “Import” button.
The Import Record popup will appear.
Choose a file or drag and drop your chosen file from your device.
Click “Next”.
Make sure the imported fields match the correct positions. Once completed, click the “Next” button.
Click “Start import” once you ascertain the accuracy of the matched fields.
If the upload is successful, you will see a notification that says ‘Your records have been imported’.
