How to Invite Owners?

The Owner domain allows you as the host to add property owners, giving owners direct access to experience features designed specifically for them.

Through this domain, you as the host can view property performance, monitor booking sales, and track the earnings transparently. It helps streamline communication between hosts and owners while ensuring owners have visibility and control over their property-related data.


Step 1: Navigate to Owner List

  1. Log in to your Delta PMS account.

  2. Go to the sidebar menu on the left side.

  3. Click Owner > Owner List.

Step 2: Invite Owner

  1. On the owner list page, click the “Enroll Owner" button on the top right corner of the page.

  2. On the Enroll Owner page, fill in the Owner Name, Address, Email Address, and Phone Number fields.

  3. Switch the “Reservation Log” button if you want to set the booking amount visible to the owner even if the booking is not in ‘Checked-out’ status.

  4. You can add property for the owner when inviting the new owner by clicking the “+ Add agreement” button. The detailed guide will be explained in the next step.

  5. After you fill in the important information, click the “Invite Owner” button to send an invitation email to the owner's email address.

  6. You need to wait for the owner to receive an invitation email and create the account first.

Step 3: Add Property and Room for the Owner

  1. You can add property and room for the owner when you are inviting the owner or when you are editing the active owner.

  2. You can add property for the owner when inviting the new owner by clicking “+ Add agreement”.

  3. In the Owner Agreement section, fill in the following details.

    • Start Date of Agreement (mandatory)

    • End Date of Agreement (optional)

    • Owner Stay Balance (nights): the number of night(s) owners can stay on their properties/rooms for one year. This field is mandatory.

    • Owner Share Percentage (mandatory): the percentage of booking sales that goes to the property’s owner. For example, if total sales are ¥100,000 and the owner’s share is 75%, the owner receives ¥75,000 and the host gets ¥25,000 (excluding taxes).

    • Decimal Rounding Configuration (mandatory): rounding configuration when splitting process of gross sales to owner and host share. If you choose Flooring (Round-down), it will round down the calculation. If you choose Ceiling (Round-up), it will round up the calculation. It will apply on the next month's calculation (1st date of next month).

  4. Owner Agreement Document (optional): You can upload the document of agreement with PDF format

  5. In the Owned Rooms section, click “+ Add Rooms” before selecting the property that you want to assign for the owner.

  6. If the selected property type is Condominium, then you need to select the room from the room type dropdown that you want to assign for the owner. Note: You can select multiple rooms for the owner.

  7. If the room that you selected is part of the connecting room, then you need to assign the room share percentage for each owner of that room. Note: the total of the Room Share Percentage must be equal to 100%.

  8. Click “Next” to continue to the next step.

  9. You need to set the Owner Stay Configuration of the selected room.

  10. If you want to allow or activate the booking creation for the owner, switch the switch button in the Allow to book via owner portal column.

  11. Check the “Requires approval” checkbox if owners are required to send the request first to stay in the property. → (Optional)

  12. Set the booking creation period for the period when owners are able to book the room. → (Mandatory)

  13. Set the restricted stay period for the period when owners are unable to book the room. → (Optional)

  14. Click “Next” to continue setting the Trust Configuration.

Step 4: Ensure the Owner is Successfully Invited

  1. On the owner list page, you can check the status of the owner.

    • Active: the owner already has the account for Delta PMS Owner.

    • Invited: the invitation email is already sent to the owner’s email address, but they have not created an account for Delta PMS Owner.

  2. If you want to resend an invitation to the owner whose status is ‘Invited’, click the “See Details” button from that owner row, then click the “Resend Invitation” button.
