How to set up the rate plan policy

Rate Policy settings allow you to configure various rules that govern reservations and payment. The policy settings include Payment Terms, Booking Cut-Off Date, and Pay at Property option. Those settings can be customized for each sales channel individually, ensuring that pricing, payment, and booking conditions align with the specific requirements and business strategy of each sales channel.

Required Action : You can set up policies for the rate plan if you have inputted the base rate.


How to Set Up the Rate Policy

Step 1: Navigate to Rate domain

  1. Log in to your Delta PMS account.

  2. Once logged in successfully, go to the side bar on your left screen

  3. On the side nav, navigate to Rates and Availability menu and select Rate Plan sub menu.

Step 2: Proceed to Rate creation or edit

  1. On the All Properties tab, select a property

  2. Select a room type.

  3. Click on the New Rate button to create a new rate or select one of the rates that already exist in the Rate Plans list

Note: If you create a new rate, you need to input the base rate before creating an add-on.

Step 3: Set up the Base Rate Policy

  1. Go to Policies tab.

  2. The base rate policy appears as Not Set. You will need to set the base rate policy before Click on the Edit Policy button.

  3. Fill in the payment policy. Payment policy defines when and how much the guests will be charged.

    • Charge Period determines the payment time according to the booking date or check-in date. Guests will refer this as payment schedule.

    • Charge percentage determines the percentage of the total payment amount on the set charge period. The total charge percentage must be exactly 100%, neither less and more.

  4. Click on the Add Rule to add more charging period and percentage on your payment policy.

    Note: Payment policy only applied for card and bank transfer payment method

  5. Fill in the Booking Cut Off Date Policy. The booking cut-off date policy determines the latest period guests could make a booking.

  6. Check the Pay at Property option if you allow guests to pay without credit card. Once you have checked the option, a period table will appear.

    • By default, the selected Start Period and End Period will be set as the entire rate plan period. You can adjust them to any dates within the period.

    • Click on the Add Rule button to add the period range.

    • Delete the rule by clicking on the trash icon. You cannot delete the first row since Pay at Property required at least one period range.

  7. Apply to All option will be checked by default on the first setting to avoid having rates listed without policies.

  8. Click on Save policy to set the base rate policy.

Note : You can still set up the policy even if the base rate are not fully configured. For example, you have a rate with a period from January to June but have only set the base rate January to March, the set policy will only apply to the period with the set base rate.

How to Edit the Policy

  1. Click on the Edit policy button

  2. Edit any fields as desired

  3. In this edit state, you can check the Apply to all option to apply the changes in all base rate, packages and add-ons within all sales channels. Otherwise, the changes will only apply to the current rate.

  4. Click on the Save policy button to save the changes.

After setting the policies, you can proceed to complete the rate creation, or continue to edit the base rate, packages and add-on.
