📨 Automated Email Feature Guide

1. What Is the “Automated Email” Feature?

The Automated Email feature allows you to automatically send emails to guests based on their booking information.
You can automate common communications such as check-in reminders, check-out notices, or thank-you messages, helping to reduce manual work and prevent missed messages.


2. Accessing the Setting Page

  1. From the left menu, go to [Settings] → [Automation]

  2. Choose “Email Automation” on the next screen
     (“Message Automation” is for OTA message integration such as Airbnb/Booking.com)


3. Creating a New Automated Email

  1. Click [+Add New] on the top right

  2. Select the type of email you’d like to create:
     - Check-in Reminder
     - Check-out Reminder
     - Post Check-out Thank You Email
     - Guest Service Guide
     - Booking Confirmation


4. Composing the Email

In the creation screen, you can configure the following:

Basic Information

  • Automationl Name – internal title for your reference

  • Target – select which properties or room types this email applies to (multiple selections allowed)

Subject & Body

You can include dynamic placeholders (merge fields) such as:

Hi {{GuestFirstName}} {{GuestLastName}}! Your check-in at {{PropertyName}} is scheduled for {{CheckInDate}} {{CheckInTime}}.

Use the “+Insert Merge Field” button to insert placeholders easily.


5. Setting the Delivery Schedule

Click “+Add Schedule” to define when the email should be sent.
For example: 1 day before check-in or 1 hour before check-in.
All times are based on the host’s local time zone.


6. Managing Templates

All custom emails you’ve created will appear in the Inventory tab.
You can copy or edit them later as needed.


7. Standard Templates (for Manual, Direct Bookings and Agent)

The Standard Template tab contains system default templates that are only triggered for manual, direct booking and agent bookings.
Examples include booking confirmations and payment reminders.


8. Email Design Settings

In the Appearance Settings tab, you can customize visual elements such as:

  • Button colors

  • Table highlight colors

  • Footer logo and company information


⚠️ Notes & Important Information

  • For OTA bookings (e.g. Airbnb, Booking.com), please use “Automated Message” instead.

  • Automated Email works only when the guest’s email address is available.

  • The Standard Template section already includes a Booking Confirmation Email for direct booking guests.
    Avoid duplication in recipients or purposes when creating new templates.

  • If any placeholders are empty, the email will be sent with blank fields — we recommend testing first.

  • You can send a test email anytime to preview your setup.

  • Existing emails can be modified or disabled anytime from the “View Details” page.
