As the host, you can also create a group booking for guests/Agent booking from the Room Allocation. The initial flow will be slightly different from creating it from the Booking List.
Step 1: Open Room Allocation Page
Log in to your Delta PMS account.
Go to the sidebar menu on the left side.
Click Booking > Room Allocation.
Step 2: Select Rooms and Dates
Find the property where you want to create the group booking.
Click and drag the cursor on the target room’s row on the dates of your booking (from the check-in to the check-out date).
After you drag your cursor and drop it on the check-out date, a popup like the one in the attached picture will appear.
The message in the popup means you can select and block multiple rooms to create a group booking at once.
Click “Close” to close the popup.
Select another room for the next booking. If the room that you want to choose is hovered over by the detail card, you can drag and drop it to another area.
After you select the room and dates for the second booking, the Multiple Allocation popup will appear. It contains information about the selected rooms and your booking dates.
You can do several actions from this popup.
Click “Cancel all” to cancel all the selected rooms and dates.
Click the red (X) icon to cancel certain booking(s). You may do this action if you want to change one of the selected rooms.
Click Create a group booking to create a group booking for multiple allocations.
Step 3: Create a Group Booking
Click Create a group booking.
Select Guest / Agent Booking.
The Create New Booking form will appear. It will reflect your previous allocation selections and show a ‘Group’ mark at the top right of the form.
Fill out the forms and all mandatory fields (Select Property, Select Room Type, Room Name, Last Name, and Applied Rate by choosing the Stay Period).
Click “Next”.
In the Confirmation step, choose the PIC of the group booking. This PIC will be the main contact during the group’s stay.
You can also review the information by clicking the navigation arrows to swipe the form left or right.
After reviewing the information you input, click “Confirm”.
You will be redirected to the Booking Details page, and the notification ‘Group booking created will appear. This is what the Booking Details page for a group booking looks like.
On the left side, you can navigate to Individual Bookings to view each booking's details.
You may check the booking summary card of the booking group.
It contains the following details:
PIC: The PIC of the booking, or a main contact of the group booking.
PIC Booking ID : Booking ID of the group booking’s PIC
Total Bookings Combined: The total number of bookings in the group booking.
Total Guests: The total number of guests in all bookings in that group
Total Invoice Amount: The amount that the guests need to pay after generating the invoice.
Total Amount Due: The unpaid amount from the generated invoice.
