Room Allocation Overview

This will explain how to open and use Room Allocation domain

Room Allocation is a management feature that allows users to manage their property rooms. It also helps users handle bookings, create new bookings, and access other features that simplify client management.


Step 1 : How to open Room Allocation

  1. Login to PMS (Host Portal).

  2. Go to Dashboard.

  3. Select Room Allocation.

Room Allocation Feature : Room Allocation Calendar

Room Allocation Calendar will show the date and the property room. The date display will be based on the period (Weekly, Biweekly, Monthly) that have choose by user.

You can select your period from this options :

Monthly :

User will also able to select for specific period when click the Start Date - End Date above the calendar.

User able to horizontal scroll to see the list of future and past booking with loading interval for each 3 months (actual month, not counting based on number of day in a month)

This Room Types button will show when it click

At the bottom of the page you will find legends for each statuses with the info icon to open the pop-up to show the description for each statuses

  • Booking Status :

    • Confirmed : Condition when booking already consumed the availability. Manually changed from Draft.

    • In House : Condition when guest already stay at the property.

    • Checked-out : Condition when guest already checked-out from property.

    • No Show : Condition when user decide that guest not come at the property.

    • Archived : Terminal status for booking.

  • Payment Status :

    • Pending Payment : Condition if no invoice has been created in the booking.

    • Waiting Payment : Condition if any created invoice with or without payment action has been initiated.

    • Partially Paid : Condition if booking amount (accommodation + guest service) has not been fully paid.

    • Paid : Condition if booking amount (accommodation + guest service) has been fully paid.

Step 2 : How to Filter the Room Allocation

  1. Open the Room Allocation.

  2. Click Filters button beside Settings button.

  3. Select the property type.

  4. Checklist the specific property name.

  5. Click Confirm to save the filter.

  6. User will only see the property based on the selected filter (the filter button will showing the red icon for the active filters).

Step 3 : How to Reset Room Allocations Filters

  1. Make sure you have active filters in Room Allocations.

  2. Click Filters button.

  3. Click Reset for reset all the filters.

Room Allocation Feature : Settings

Room allocation have settings feature to help you manage the property by the booking status or payment status with the specific period.

This feature, located beside Filters button.

If you click this Settings button, Room Allocation Settings page will appear. This page will serve you several status and period, you can select based on your needs. You also can rearrange the order of the property to be display in you Room Allocation page.

Room Allocation Feature : Manage the bookings through Room Allocation Page

On Room Allocation page, you able to manage your booking by click on the booking. If you click the booking, booking overview pop-up will appear and you can manage your booking.

What can be managed from the booking overview room allocation?

  1. Booking Details

  2. Room Lock Allocation

  3. Booking Status

Room Allocation Feature : Create New Booking from Room Allocation Page

You can drag and drop into the column in calendar to manage your selected date for create a booking.

The booking below shows that, you will book a room at the property Luxe Luminar with the stay date from 8 August 2025 until 11 August 2025.

If you want to proceed for create new booking for guest, you just click on the Add Guest options.

Room Allocation Feature : Change Room Status from Room Allocation Page

You can drag and drop into the column in calendar to change the room status.

click on the Change Room Status options to manage the room status into Active or Inactive. You also able to make description for the inactive room status.

Room Allocation Feature : Holding Reservations

User able to drag and drop the booking to the bottom of the page, and the holding reservation bar will appear. This holding reservations bar is help to manage and move the room into another room, date, or another property.

After user drag booking into Holding Reservations bar, this is what it looks like :

You able to click (x) to revert back the booking into the origin place or you can move your booking into another room, date or property.

Room Allocation Feature : Move the Booking

User able to move the booking through room allocation by drag and drop the booking into the property/room/date specified. The detail explanation here.
