Room Allocation Overview

Room Allocation is a management feature that allows you as the host manage the property rooms. It also helps you handle bookings, create new bookings, and access other features that simplify client management.


Step 1 : How to open Room Allocation

  1. Log in to your Delta PMS account (Host Portal).

  2. Go to the sidebar menu on the left side.

  3. Select Room Allocation.

Room Allocation Feature : Room Allocation Calendar

Room Allocation Calendar will show the date and the property room. The date displayed will be based on the period (Weekly, Biweekly, Monthly) chosen by you.

You can select your period from several options.

This is the overview for each period.

You can also select a specific period by clicking the start and end date above the calendar, beside the “Today” button.

You can show/hide the room types of each property by clicking the “Room Types” button above the calendar.

At the bottom of the page you will find legends for each status with the question mark icon to open the description popup for each status.

  • Booking Status:

    • Confirmed: a condition when the booking already consumed the availability and is manually changed from ‘Draft’.

    • In House: a condition when the guest stays at the property.

    • Checked-out: a condition when the guest already checked-out from the property.

    • No Show: a condition when you decide that the guest not come to the property.

    • Archived: terminal status for booking or when the booking status can no longer be changed.

  • Payment Status:

    • Pending Payment: a condition when no invoice has been created in the booking.

    • Waiting Payment: a condition when any invoices have been created/initiated, either with or without payment action.

    • Partially Paid: a condition when the booking amount (accommodation + guest service) has not been fully paid.

    • Paid: a condition when booking amount (accommodation + guest service) has been fully paid.

Step 2 : How to Filter the Room Allocation

  1. Open Room Allocation.

  2. Click the “Filters” button beside the “Settings” button.

  3. Select the property type.

  4. Filter by specific property name. You can choose multiple properties.

  5. Click “Confirm” to apply the filter.

  6. You will only see the property based on the selected filter. On the “Filter” button, there will be a number in the red icon for the active filters).

Step 3 : How to Reset Room Allocations Filters

  1. Make sure you have active filters in Room Allocation.

  2. Click the “Filters” button.

  3. Click “Reset” to delete all the filters.Room Allocation Feature : Settings

Room Allocation Settings

Room Allocation has settings feature to help you manage the property by the booking status or payment status within a specific period.

This feature is located beside the “Filters” button.

If you click this “Settings” button, the Room Allocation Settings page will appear. This page will serve you several statuses and periods. You can select it based on your needs. You can also rearrange the order of the property to be displayed on your Room Allocation page, more detail about this feature please refer to this article.

On the Room Allocation page, you can manage your booking by clicking the booking. When you click the booking, a booking overview popup will appear and you can manage your booking.

What can be managed from the booking overview room allocation?

Room Allocation Feature : Create New Booking from Room Allocation Page

You can click and drag dates in the calendar for creating a booking within that period. For example, the booking below shows that you will book a room at the property Luxe Luminar with the stay date from 8 until 11 August 2025.

If you want to proceed to create a new booking for guests, you can just click Add booking > Guest booking.

Room Allocation Feature : Change Room Status from Room Allocation Page

You can click and drag dates in the calendar for creating a booking within that period to change the room status.

Click the dropdown menu on the Room Status section to manage the room status into ‘Active’ or ‘Inactive’. You can also make a description for the Inactive room status.

Room Allocation Feature : Holding Reservations

You can drag and drop the booking to the bottom of the page, and the Holding Reservation bar will appear. This Holding Reservation bar helps to manage and move the room into another room, date, or another property.

After you drag a booking into the Holding Reservation bar, this is what it looks like.

You can click (x) to revert back the booking into the earlier place or you can move your booking into another room, date, or property.

You can move the booking through Room Allocation by dragging and dropping the booking into the property/room/date specified. The detailed explanation can be found here.
