How To Manage Booking Request from Agent

Follow these steps to manage the booking request that came from agent.

Step 1 : Navigate to Booking List

  1. Log in to your PMS account.

  2. Go to the Dashboard.

  3. Click 'Booking' on the sidebar on the left of your screen to access the property list.

  4. Select 'Booking Request'.

Step 2 : Booking Request Overview

In booking request page, you will see booking list table. This booking comes from a Agent account request.

Search bar : Search the booking by Booking Request ID, Guest Name, Property Name, Requester Type, Requester name.

Booking date and Booking Request ID : Showing the booking date and the booking request ID.

Guest Name : Showing the name of the Guest.

Property Name : Showing the name of the property.

Room Type Name : Showing the Room Type Name.

Check-In Date : Showing the Check - In Date.

Check-Out Date : Showing the Check - Out Date.

Request Status : Showing the Request Status of the booking.

  • Waiting Approval :

    Condition if the booking request still waiting host approval

  • Requesting Cancellation :

    Condition if the booking request has been rejected by host

  • Rejected :

    Condition if the booking has requesting cancellation to host

Requester : Showing the Agent Requester.

Exclamation mark (Beside the Booking Date & Booking Request) : This to warn you if there are request booking cancellation from Agent side.

Step 3 : Open the Booking Request Detail

  1. Go to the Dashboard.

  2. Click 'Booking' on the sidebar on the left of your screen to access the property list.

  3. Select 'Booking Request'.

  4. Select one booking you want to view.

You will see several section such as Stay Details, Guest Information, and Request Log Tab.

Stay Details Tab

  1. Stay Period : Showing the Stay Date Period.

  2. Select Property : Showing the name of the property.

  3. Select Room Type : Showing the Room Type.

  4. Room Name : Showing the Room Name.

  5. Number of Guest

    • Adult

    • Children

    • Infants

  6. Applied Rate : Showing the Rate Option & Rate price.

Guest Information Tab

  1. First Name

  2. Last Name

  3. Phone Number

  4. Email

  5. Address Nationality

  6. Arrival Date and Time

  7. Personal Identification

Request Log

This section is for finding out more details about the data changes that have been made.

Step 4 : How to Approve Request

  1. Log in to your PMS account.

  2. Go to the Dashboard.

  3. Click 'Booking' on the sidebar on the left of your screen to access the property list.

  4. Select 'Booking Request'.

  5. Select one booking detail and check the details of the booking.

  6. When the booking already open, you will see in the right corner, there are 2 option to 'Approve Request' or 'Reject Request'.

  7. Click 'Approve Request' to Approve the booking request from agent.

  8. Approve confirmation will appear. Click 'Confirm' to proceed the approvement. Or click cancel if you want to cancel the action.

  9. After the booking is approved, there will be Successful Notification 'Booking Request Approved'.

  10. Your booking will disappear from Booking Request list, but will appear in Room Allocation and Booking List if the booking successfully approved. You can start to manage your booking from Room Allocation and Booking List.

Step 5 : How to Rejected Request

  1. Go to the Dashboard.

  2. Click 'Booking' on the sidebar on the left of your screen to access the property list.

  3. Select 'Booking Request'.

  4. Select one booking detail and check the details of the booking.

  5. When the booking already open, you will see in the right corner, there are 2 option to 'Approve Request' or 'Reject Request'.

  6. Click 'Reject Request' to reject the booking request from agent.

  7. Reject Confirmation will appear. Click 'Confirm' to proceed the Rejection. Or click cancel if you want to cancel the action.

  8. After the booking is rejected, there will be Successful Notification 'Booking Request Rejected'

  9. Your booking will still appear in Booking Request List with a Rejected Request Status.

Step 6 : How to Edit the Booking Request

Required : Make sure the booking request still in 'Waiting Approval' status.

  1. Go to the Dashboard.

  2. Click 'Booking' on the sidebar on the left of your screen to access the property list.

  3. Select 'Booking Request'.

  4. Select one booking detail that you want to edit.

  5. Select any fields that you want to edit.

    • Stay Period

    • Select Property

    • Select Room Type

    • Room Name

    • Number of Guest

    • Applied Rate

  6. Check the estimated price for the new changes.

  7. Click 'Save Changes' to save your changes.

  8. There will be successful notification 'Booking Already Update' if your change was success.
