Booking Details Overview

After create a booking, you will automatically navigate to a new page, namely booking details. The booking compiled into a booking detail.


Step 1 : Navigate to Booking Details

  1. Go to the Dashboard in PMS.

  2. Open booking tab.

  3. Go to the Booking List.

  4. Select one booking from the ‘All bookings’ or ‘Draft’ tab

  5. Selected one booking.

  6. After you click one of the booking on those tab, you will automatically redirect to the Booking Detail page.

Step 2 : Open the Booking Detail

What is included in the Booking Detail page ?

Booking Summary Section (The header of your booking details) :

  • Guest Name : Displays the name on the booking.

  • Payment Status : Updates based on the payment process.

  • Booking Status (Beside Booking Details wording) : Customizable booking status

  • Credit Card Captured : Indicates if a credit card is linked to the booking

  • Pre-Check in Form Status : Shows the status form if already completion and submission.

  • Guest Portal Access : Guest portal access to users.

  • Booking Date : The date your booking was created.

  • Booking ID : Unique number assigned to the booking.

  • Stay Period : The stay duration.

  • Guest : The number of guest in the booking.

  • Arrival Date & Time : Time of arrival. The arrival time will be the same as the check-in time

  • Booking Source : The booking source is indicates where the booking was made, it can be from manual booking (PMS), Direct Booking or Online Travel Agent (OTA).

  • Applied Rate : Selected rate option for the booking.

Stay Details Tab

  • Stay Period : Containing date picker that allow you to select the range of stay period.

  • Select Property (Mandatory) : Showing list of the property which has active status.

  • Select Room Type (Mandatory) : Showing the associated room type list of selected property which has active status.

  • Room Name (Mandatory) : The associated room name list of selected room type which has active status.

  • Number of Guest : To input the number of guests. The value that can be inputted depends on the number of adult, children, and infants that set in property domain

  • Bed Configuration : Bed configuration based on the selected property and room

  • Booking Source (Mandatory) : Booking source indicates the booking was made, in this field, the booking source can be edited, except for bookings that come from direct bookings and agent booking.

  • Reference ID : This field is only enabled if the booking source has been customized (Non manual booking, direct booking, OTA, and agent.

  • Arrival Date & Time : Arrival date time will showing automatically the same date with check in date.

  • Comment : Column area for additional text can be added.

  • Applied Rate (Mandatory) : Showing the available rates that can be selected based on the selected stay period and room type.

Note & Attachment Tab

  • Note : This showing an area for a note

  • Attachment : This showing an area for attach some file from JPG,PNG, HEIF,PDF format with the maximum file size of 10 mb

Guest Information Tab

  • First name : Guest first name

  • Last name (Mandatory) : Guest last name

  • Name (Kanji) : Guest able to input for the Kanji name in this section

  • Phone Number : Phone number of guest

  • Email : email of the guest

  • Nationality : nationality of the guest

  • Address : Address of the guest

  • Tags : Marker for each guest. This section can be edited and added tags

  • Personal Identification : the personal identification of the guest

  • Comment : comment section that can be added

Representative Booking Section

Representative details are used so that user can make orders on behalf of other people. Representative details have the same section as guest information, this section will appear when you slide the 'Representative Booking' toggle to the right side.

If its Representative Booking, the First Name, Last Name, Phone Number, Email Address, & Address data for the "Guest Details" section is the same as "Representative Details" as default. Users are allowed to change the "Guest Details" and “Representative details” data.

House Cleaning Tab

In this tab user can add house cleaning during the stay date.

To add the additional house cleaning click '+Add House Cleaning' However, if you book a property that already has a basic house cleaning schedule, the basic house cleaning schedule will be listed here automatically based on the schedule you set in the Settings domain.

The add house cleaning empty state will serve you several field such as :

  • Cleaning Type

  • Cleaning Date & Time

  • Cleaning Cost

  • Cost Type

  • Sell Price (Will be active when you add Additional Cleaning)

This is what it looks like when you have basic house cleaning and additional house cleaning in your house cleaning table :

In House cleaning tab it contain several data table :

  1. No : Order of list number for House Cleaning

  2. Cleaning Type : Cleaning Type that has inputted

  3. Cleaning Date & Time : The specific date for cleaning

  4. Cleaning Cost : this cost will appear based on the data from settings domain, you still can edit this, and that will be not making change the data in settings domain

  5. Cost Type : The cost type based on the selected cleaning type.

  6. Sell Price : This price will appear when you add an additional cleaning

  7. Note : Text area for all characters format with 2000 maximum characters.

  8. Action

    • Basic house cleaning

      • You able to delete house cleaning regardless what the booking status is

      • You are able to edit house cleaning

    • Additional house cleaning

      • You are able to delete house cleaning as long as it's unpaid and no association with any invoices.

      • If additional house cleaning is associated with any invoices, only Note & House Cleaning Date and Time are available to edit.

      • If additional house cleaning has no relation with any created invoice, all fields are able to edit

Guest Service Tab

This is what is looks like when you have no Guest Service.

However, there will be automated recorded guest service in the table if you selected the rate package for the booking.

For add guest service you can follow this step :

  1. Click '+Add Guest Service' button

  2. You will see the guest service empty field and several field such as :

    • Service Time

    • Service Date & Time

    • Sell Price

    • Sales Subjection

    • Subjection Amount

    • Quantity (QTY)

    • Charging Type

    • Note

  3. After you complete all the field click 'Add and Save' button, if you want to cancel your action you can click 'Cancel'.

  4. After you click 'Add and Save' you will see the table of Guest Service list :

  • No : Order of list number for Guest Service

  • Service Name : Service name you have selected

  • Service Date & Time : Specific date and time for the service

  • Sell Price : sell price based on each guest service

  • Sell Subjection :

    • Host : If guest service subjected to Host, the guest service will become Host sales

    • Owner : the sales will become owner's sales.

  • Subjection Amount : subjection with percentage

  • QTY (quantity) : the quantity of your guest service

  • Charging Type :

    • Payable : if the guest service charging type is payable, the guest service as an item for invoice.

    • Non Payable : If the guest service charging type is non-payable, the guest service is not available for invoice.

  • Note : Additional note for your guest service

  • Action :

    • Delete action : Delete the guest service as long as no invoice is related to the guest service.

    • Edit action : Edit the guest service if no associated invoice is created. If there is an associated invoice created, user are only able to edit Service date and time & Note field.

Payment Tab

On this tab a list of items that can be processed to the payment step will appear. This several table will shown :

  • Item Name : list of your items from accommodation, additional guest, guest service, house cleaning

  • Date : the date for each accommodation, guest service and house cleaning

  • Price Per Unit : price per item

  • QTY (Quantity) : the quantity of your item

  • Total : the total price of your item

  • Remarks : remarks from your item

  • Action : action for edit the price

  • Generate Invoice : to generate the invoice to add a payment

Booking Log Tab

Booking log is your booking tracking when you make a new action, change the action or delete the action. When you open the booking log, several table will shown :

  • User : showing the user name who makes the changes. If its automatically change by system

  • Date : showing the date of the changes

  • Time : showing the time of the changes

  • Event :

    • Create: the event for any creation in each field

    • Update: the event for any changes in each field

    • Delete: the event for any deletion in each field

  • Section : showing the tab name based on the action changed

    • Stay Details

    • Guest Information

    • House Cleaning

    • Guest Services

    • Payment

    • Note & Attachment

  • Field : showing the text field name for the changes

  • Description : showing the description for any changes
