How to handle extensions for OTA bookings (e.g., Booking.com)

🔰 Recommended: Have the guest extend via OTA

Whenever possible, please ask the guest to extend their booking directly through the OTA platform.

This is the most accurate and reliable method to ensure the reservation stays synced correctly between the OTA and Delta PMS.


🔁 If the guest refuses to extend via OTA

If the guest cannot or does not want to extend via the OTA,
do not extend the original booking in Delta PMS.
Instead, create a new direct booking for the additional night(s).


🚫 Why not extend the existing OTA booking?

  1. Difficult to reconcile payments
    If only the first 2 nights were booked through the OTA, but you manually extend to 3 nights, the full booking may appear to be OTA-sourced, making payment matching complicated.

  2. Inaccurate reporting
    Delta PMS automatically tracks OTA vs direct bookings. If you add the extension to the OTA booking, the report data will no longer reflect the actual channel distribution.

  3. Sync risk with OTA
    If the OTA sends a sync update (e.g., Booking.com pushes 2 nights again),
    Delta PMS may override the extended 3rd night and revert the booking to 2 nights.


✅ How to create a new direct booking and send a payment link

① Create a new booking(How to create a booking from the calendar

  1. Go to the calendar and create a new booking

  2. Change the Status to Confirmed

  3. Go to the Guest Info tab and enter the guest’s personal email address (e.g., Gmail)

Note: Do not use the masked OTA email address (e.g., @guest.booking.com). See below for more info.


② Set and confirm the room rate(How to issue an invoice

  1. Go to the Payment tab

  2. Enter the room charge for the extension (you can adjust the amount if needed)


③ Send a payment link(How to request payment from a guest

  1. In the Payment List section, click Register Payment

  2. Select Credit Card as the payment method

  3. A Stripe payment link will be automatically sent to the email address you entered in the Guest Info tab


✉️ Important: About OTA email addresses

If the email address from Booking.com is a masked/anonymous email (e.g., [email protected]), any external link (such as a Stripe payment link) may:

  • Be blocked entirely

  • Or the link may not display properly for the guest

We strongly recommend asking the guest for their personal email address to ensure delivery.


💡Tips

  • When asking for the guest’s personal email, you can explain it's to "send a secure payment link for the extension."

  • Stripe payment links cannot be sent via the Delta PMS message box to OTA addresses due to link restrictions.
