What this controls
Access hours determine when a guest is allowed to use self check-in and when they're expected to check out. Delta PMS lets you set these times at three levels, so you have flexibility without needing to configure every room individually.
The three levels and which one wins
Every room has one effective access hours. It's decided by this priority order:
Room level custom hours
Highest priority, if set.
Property-level custom hours
Used if no room-level override exists.
Company settings
The default, used when nothing else is set.
In other words: a room always follow its own custom time first. If it doesn't have one, it follows its property's custom time. If the property doesn't have one either, it falls back to your company-wide setting.
Setting a proeprty-level time
Property-level hours override your company settings for every room at that property except rooms that already have their own room-level override.
Open the property's self check-in page
At the top, the property access hours card shows the times currently in effect. By default, it shows your company settings with a note: "Currently using your company settings".
Click "Set custom time"
The check-in and Check-out time fields become editable. Click a field to open the time picker and choose the new time, then click Save.
Confirm the change
A confirmation dialog explains what this does: this proeprty will use it's own hours instead of the company default, and any room without its own custom hours will start using the new times.
Done the proeprty now shows it's custom hours
You'll see a "Changes saved" confirmation, and the card now shows your custom times with Reset to default button.
Reverting to company settings
Click Reset to default at any time to go back to using your company-wide hours. This doesn't affect any room that has its own room level custom hours, those keep working as configured.
Setting a room-level time
Room-level hours override everything else both the property setting and the company setting for that single room only.
Find "Custom Access Hours" in the room table
Each room row has a Custom Access Hours column. A room without an override shows a +Set for this room link; a room that already has one shows its times and a Reset to default button.
Click "+Set for this room"
Choose the room's check-in and Check-out time. A note confirms these times apply only to this room, then click Confirm.
Done the room now shows its own times
The room's row udpates immediately to show its custom Check-In / Check-Out times and a Reset to default button.
Reverting to the property (or company) setting
Click Reset to default on the room row. The dialog reminds you the room will go back to following whatever the property currently uses its custom hours if set, otherwise the company default.
Use case example
Example 1: Room-level early check-in for a VIP guest
Let's say your standard access hours are:
Check-in: 3:00 PM
Check-out: 11:00 AM
A VIP guest boos Room 508 and asks to check in at 12:00 PM instead of 3:00 PM. You don't want to change the access hours time for the whole property, just for this booking's room.
In this case, you can set custom access hours for room 508 only:
Find Room 508 in the room table and click +Set for this room under Custom Access Hours.
Change the Check-In time from 3:00 PM to 12:00 PM, keep Check-out time at 11:00 AM.
Click confirm
Now only room 508 allows self check-in from 12:00 PM on that day. All other rooms still follow the property (or company) access hours.
Example 2: Room-level late check-out for a long-stay guest
Your standar access hours are:
Check-in: 2:00 PM
Check out: 11:00 AM
A long-stay guest in room 302 requests a late check-out at 2:00 PM on their departure day. You don't want to offer late check-out to all guests, only this specific room.
Here's what you do:
Go to room 302 in the room table and click +Set for this room
Keep Check-in time at 2:00 PM and change Check-out time from 11:00 AM to 2:00 PM.
Click confirm.
Now, only room 302 allows self check-out until 2:00 PM. All other rooms still use the 11:00 AM check-out.
Example 3: Property-level custom hours for a city event
Your company-wide access hours are:
Check-in: 3:00 PM
Check-out: 11:00 AM
You manage multiple properties. One of them is next to a convention venue. During a large city event, you expect guest to arrive earlier and want to offer early check-in just for this property, without affecting your other properties.
You can set custom access hours at the property level:
Open the property self check in detail page
In the proeprty access hours card, click Set custom time
Change the Check-in time from 3:00 PM to 12:00 PM, keep Check-out time at 11:00 AM.
Click Save, then confirm the change in the dialog.
From now on:
Allow rooms at that property follow 12:00 PM Check-in / 11:00 AM Check-out
Except any rooms where you've already set their own room-level custom hours
Other properties still follow the company-wide access hours.
When a guest tries to use self check-in outside the configured access hours, they won't be able to complete self check-in.
