How to Create and Edit Automatic Messages

Delta PMS allows you to create automatic messages that are sent to guests at specific timings, such as:

  • Booking confirmation messages

  • Check-in instructions

  • Check-out instructions

This article explains how to create and edit automatic messages in Delta PMS.


① How to Create an Automatic Message

Step 1: Open the Automatic Message Settings

From the left-side menu, go to:

Settings

Automation

Message Automation


Step 2: Create a New Message

Click:

“Add New”

to create a new automatic message.


Step 3: Configure Each Setting

Enter the required information.


■ Automation Name

Set a name that clearly identifies the purpose of the message.

Examples:

  • Booking Confirmation Message

  • Check-in Instructions

  • Check-out Instructions


■ Trigger

Set when the message should be sent.


■ Targets

Set which properties and rooms the message should apply to.

You can specify:

  • Target property

  • Target room

※ If you manage multiple properties, you can configure messages separately for each property and each room.


■ Schedule

Set when the message should be sent.

Examples:

  • Send 6 hours before check-in

  • Send immediately after the reservation is confirmed

You can configure the timing according to your needs.


■ Message

Enter the message content that will be sent to guests.

※ You can use variables to automatically insert guest information, such as the guest name from Merge Fields.


Step 4: Complete the Creation

After confirming all settings, click:

“Finish”

at the top right.


② How to Edit an Automatic Message

Existing automatic messages can be edited at any time.


Step 1: Open the Message You Want to Edit

Click:

“See Details”

for the automatic message you want to edit.


Step 2: Click “Edit”

Click:

“Edit”

at the top right.

You can edit the items.

Use this screen whenever you need to update or add information to the message.


Step 4: Save Changes

After completing the edits, click:

“Save Changes”

at the top right to finish.


Additional Information: Saving Messages as Templates

Created messages can also be saved as templates.

This is useful when you want to reuse the same message content for another property or another purpose.


Step 1: Save a Message as a Template

From the message editing screen:

Click:

“More”

at the top right.

Select:

“Save to inventory”


Step 2: Check the Template List

Saved messages will be stored in:

Message Automations → Inventory

You can use these templates when creating new automatic messages.
