How to Change Owners?

This guide will show you how to change the owner of one property to another owner.

Step 1: Navigate to Sales Owner - Owner List

  1. Log in to your Delta PMS account.

  2. Once logged in, go to the sidebar on your left screen.

  3. Click the Owner menu on the sidebar to show the submenu Owner List

  4. Select Owner List submenu on the sidebar.

Step 2: Search for the Owner of the Property that you Want to Change

  1. On the Owner List page, you can check for the owner of the property that you want to change.

  2. You can also search for the owner name that you want to edit using the search bar on the top left corner of the Owner List page.

  3. After you’ve found the owner of the property that you want to change, you can click on the See Details button from that owner row.

Step 3: Set the End Date of Agreement

  1. You need to set the end date of agreement so you can change the ownership of that property.

  2. On the Owner Details page, you can click on the Edit Details button to edit that owner.

  3. You need to click on the edit icon on the Owned Properties that you want to change.

  4. The Owner Agreement segment will appear under the add property segment.

  5. Set the end date of agreement. Please note that the end date of agreement of this owner can not be overlapped with the new owner start date of agreement. Example: The host set owner A’s property X end date of agreement to 10 July 2024. Then, the host set owner B’s property X start date of agreement to 11 July 2024 to change the ownership.

  6. Click on the save button to finalize the change for that property.

  7. Click on the save changes button to finalize your change for that owner.

  8. If you successfully edited your owner, there's a green popup that says "Changes has been saved”.

  9. If the date you enter is smaller than today's date, then a notification that the owner has an expired agreement will appear.

  10. Go back to the owner list page.

Step 4: Search for the New Owner

  1. You need to have the new owner registered in the delta PMS before the change of the ownership. If you don’t understand how to invite new owners, you can check the article How to invite owners.

  2. On the Owner List page, you can check for the new owner of the property.

  3. You can also search for the owner name that you want to edit using the search bar on the top left corner of the Owner List page.

  4. After you’ve found the new owner of the property, you can click on the See Details button from that owner row.

Step 5: Add Property for the New Owner

  1. On the Owner Details page, you can click on the Edit Details button to edit that owner.

  2. You can add that property for the new owner by clicking on the + Add Property button.

  3. On the Owner Agreement segment, you need to fill in the details below:

    1. Owner's stay balance: How many night(s) owners can stay on their properties / rooms for one year. This field is mandatory.

    2. Start date of agreement: Please note that the end date of agreement of this owner can not be overlapped with the new owner start date of agreement. This field is mandatory.

    3. End date of agreement: This field is optional.

    4. Owner share percentage: Percentage of how much the owner got from the booking sales of their properties / room. Example: If sales is 100,000 Yen, owner share percentage is 75%, then owner will get 75,000 Yen from the sales, and host will get 25,000 Yen from the sales (exclude taxes, etc). This field is mandatory.

    5. Decimal Rounding Configuration: rounding configuration when splitting process of gross sales to owner share and host share. If you choose Flooring (Round-down), it will round down the calculation. If you choose Ceiling (Round-up), it will round up the calculation. By default, Flooring (Round-down) will be selected. If you change the configuration, it will apply on the next month's calculation (1st date of next month). This field is mandatory.

    6. Owner Agreement Document: You can upload the document of agreement with JPEG and PDF format to Delta PMS. This field is optional.

  4. On the Add room segment, click on the property name dropdown to select the property that you want to assign for the new owner.

  5. If the added property type is Condominium, then you need to select the room from the room type dropdown that you want to assign for the owner. Note: You can select multiple rooms for the owner.

  6. If the room that you selected is part of the connecting room, then you need to assign the room share percentage for each owner of that room. Note: Total of the Room Share Percentage must be 100%.

  7. Click on the Next button to continue to the next step.

  8. You need to set the Trust Configuration and recurring cost for the room or property that you added. The detailed guide will be explained in the How to set up trust and recurring cost for owners.

  9. After you’ve done with the setup, you can click on the +Add Rooms button.

  10. Click on the +Add button to finalize the property and room setup for the new owner.

  11. Click on the save changes button to finalize your change for that owner.

  12. You successfully changed the ownership of the property from the previous owner to the new owner. If you get a notification that there’s an overlapping date of agreement, then you need to make sure that the previous owner’s date of agreement and the new owner’s date of agreement is not overlapping.
