A Complete Guide to Availability Management

This article explores the feature of Availability Management and how to configure it from host portal

What is Availability Management?

Availability management is one of the flagship feature of Delta PMS that allows host to manage the availability for each room type and for all property, in a quick and easy manner.

Step 1: Go to Availability Management page

  1. Login to PMS

  2. Go to Rates and Availability->Availability management

  3. In Availability Management page, select Property

  4. Availability table for the selected property will be shown.

  5. You can confirm the availability for each room in the property. Currently it is only possible to check the availability for a period of two weeks. By default, the start of the period is the current date and you can change it freely.

Availability Management table overview:

  • Stop sell row: This row contains checkbox for each column. Checking the checkbox of a column will set all items below it from active to inactive (1 to 0). This is also known as Bulk Edit action.

  • Occupancy row: This row lets user know the occupied rooms/total number of rooms.

    • For House property, the max. value is always 1.

    • For Condominium property, the value will vary depending on how many room there are in the condominium.

  • Dates column: Each column represents a date.

  • Room type section: Room type selector and all room types will be shown here.

  • Sales channel section: Selector for each sales channel.

    • Manual Booking

    • Direct Booking

    • Agent Booking

  • Rate plan row: Shows variety of rate plan that belongs to a room type. Each rate plan can be configured individually and set to active or inactive. A room type will at least have one rate plan (Standard/Basic plan).

  • Availability value: Shows the state of availability.

    • 0 means unavailable

    • 1 means available


Step 2: Modify Availability setting

Three are 3 ways to modify room availability in Availability Management, which are Manual edit, Bulk edit, and Mass stop sell. We can choose which one depending on what kind of configuration that we are aiming for.

1. Modify room availability for individual item

  1. Select the Property and the availability table will appear

  2. To select the period, click on the date on top of the page and the date picker will appear. Please note that you can only set the start date, since the end date will always be 13 days from the start date.

  3. Click Apply to save the period

  4. Select an item from the table and click on it. Make sure that the date, the room, the payment channel and the rate name is correct.

  5. Change the value from 1 to 0 to set the room to unavailable, and vice versa to set the room available.

  6. Repeat Step 4-5 for other items if needed.

  7. Click Save changes

  8. You may check if the changes is reflected for the affected payment channel:

  • Manual Booking (PMS):

    • Go to Room Allocation

    • Locate the property

    • Select the date where the room is set to unavailable

    • The date should be blocked out and booking cannot be made

    • Hover the cursor over the blocked date, and the following tooltip will appear:

      • "Room sell stopped"

    • Click the blocked date to go to Availability Management page

  • Direct Booking:

    • Go to the property’s Direct Booking site

    • Select the correct property

    • Select the Stay Dates

    • You can see in the calendar that the price doesn’t show up for the dates where the room types is made unavailable

    • If you click Confirm, the following warning will appear:

      • “This property is not available on ... ”

  • Agent Booking:

    • Login to Agent Portal

    • Select the correct property

    • Select the Stay Dates

    • You can see in the calendar that the price doesn’t show up for the dates where the room types is made unavailable

    • If you click Confirm, the following warning will appear:

      • “This property is not available on ... ”

Example case for Manual Edit:

You want to set room to inactive from Direct Booking for one day

  1. Select the property and set the start date to 1st of September.

  2. In the Direct Booking section, locate the Basic Rate row.

  3. On the Basic Rate row, click the item on the first column.

  4. Change the value from 1 to 0.

  5. Click Save changes

  6. This will make the room becomes unavailable for booking through the Direct Booking on the 1st of September


2. Modify room availability for multiple items

  1. Select the Property and the availability table will appear

  2. To select the period, click on the date on top of the page and the date picker will appear. Please note that you can only set the start date, since the end date will always be 13 days from the start date.

  3. Click Apply to save the period

  4. Locate the check box in the Stop Sell row, and click on the check box that corresponds to the date of your choice.

  5. This will set the value of all items under the column to 0, effectively setting all rate plans and all room types to unavailable on the specified date for all payment channels.

  6. Click Save changes

  7. You may check if the changes is reflected for the affected payment channel:

  • Manual Booking (PMS):

    • Go to Room Allocation

    • Locate the property

    • Select the date where the room is set to unavailable

    • The date should be blocked out and booking cannot be made

    • Hover the cursor over the blocked date, and the following tooltip will appear:

      • "Room sell stopped"

    • Click the blocked date to go to Availability Management page

  • Direct Booking:

    • Go to the property’s Direct Booking site

    • Select the correct property

    • Select the Stay Dates

    • You can see in the calendar that the price doesn’t show up for the dates where the room types is made unavailable

    • If you click Confirm, the following warning will appear:

      • “This property is not available on ... ”

  • Agent Booking:

    • Login to Agent Portal

    • Select the correct property

    • Select the Stay Dates

    • You can see in the calendar that the price doesn’t show up for the dates where the room types is made unavailable

    • If you click Confirm, the following warning will appear:

      • “This property is not available on ... ”

Example case for Bulk Edit:

You want to stop selling all room types in your property for a specific date, and make sure it applies to all payment channels, including Direct Booking, Manual Booking and Agent Booking.

  1. Select the property and set the start date to 9th of October

  2. In Stop Sell row, locate the check box for 17th of October

  3. Check the box, and for all items on the column the value will become 0 and grayed-out

  4. Click Save changes

  5. This will make all room types and rate plans in the property unavailable for booking on 17th of October through Direct Booking, Manual Booking and Agent Booking.

  6. You may check if the changes is reflected for the affected payment channel:


3. Modify room availability for multiple items for specific period (Mass Stop Sell)

  1. Select the Property and the availability table will appear

  2. Click Mass Stop Sell button on the top right

  3. In Mass Stop Sell modal, click + Add stop sell schedule

  4. Select Room Type

  5. Select Rate/Add-on. You can select All rates to stop selling all rates for the selected room type. Or, there are multiple rate plans, you can specify the the rate plan.

  6. If you only want to stop selling the Standard Rate, you may leave Package field empty. Otherwise, if you want the stop sell to only affect the Package, you need to fill this field by selecting which package you want to stop selling. If you select All Package, this will select all available package in for the selected room type.

  7. Click Stop sell for all dates if you want the stop sell schedule to be applied for all dates according to the Rate Plan setting. If you click this checkbox, the Start Date and End Date field below it will be blocked. Otherwise, if you leave this uncheck, the stop sell schedule to be applied for the period that you set in Start Date and End Date field.

  8. Select Start Date and End Date to define the period schedule

  9. Select Sales Channel

  10. Click Continue. "Stop sell has been set"

  11. Mass Stop Sell modal will appear, and you can see the generated Schedule according to your previous configuration.

12. This Stop Sell is already active, which means for the set period the specified room type and rate plans will be inactive and not available for booking through selected sales channel.

13. To deactivate this stop sell schedule and set the room type back to available (start sell), click the "Reactivate" button for the corresponding schedule.

14. You may check if the changes is reflected for the affected payment channel:

  • Manual Booking (PMS):

    • Go to Room Allocation

    • Locate the property

    • Select the date where the room is set to unavailable

    • The date should be blocked out and booking cannot be made

    • Hover the cursor over the blocked date, and the following tooltip will appear:

      • "Room sell stopped"

    • Click the blocked date to go to Availability Management page

  • Direct Booking:

    • Go to the property’s Direct Booking site

    • Select the correct property

    • Select the Stay Dates

    • You can see in the calendar that the price doesn’t show up for the dates where the room types is made unavailable

    • If you click Confirm, the following warning will appear:

      • “This property is not available on ... ”

  • Agent Booking:

    • Login to Agent Portal

    • Select the correct property

    • Select the Stay Dates

    • You can see in the calendar that the price doesn’t show up for the dates where the room types is made unavailable

    • If you click Confirm, the following warning will appear:

      • “This property is not available on ... ”

Example case for Mass Stop Sell:

You want a certain room type to only be available for booking through Direct Booking for the holiday season (Stop selling the room type for other sales channel)

  1. Select the Property and the availability table will appear

  2. Click Mass Stop Sell button on the top right

  3. In Mass Stop Sell modal, click + Add stop sell schedule

  4. Select Room Type

  5. Select Rate/Add-on. You can select All rates to stop selling all rates for the selected room type. Or, there are multiple rate plans, you can specify the the rate plan.

  6. If you only want to stop selling the Standard Rate, you may leave Package field empty. Otherwise, if you want the stop sell to only affect the Package, you need to fill this field by selecting which package you want to stop selling. If you select All Package, this will select all available package in for the selected room type.

  7. Click Stop sell for all dates if you want the stop sell schedule to be applied for all dates according to the Rate Plan setting. If you click this checkbox, the Start Date and End Date field below it will be blocked. Otherwise, if you leave this uncheck, the stop sell schedule to be applied for the period that you set in Start Date and End Date field.

  8. Select Start Date and End Date to define the period schedule

  9. Select Direct Booking as the only Sales Channel

  10. Click Continue. "Stop sell has been set"

  11. Mass Stop Sell modal will appear, and you can see the generated Schedule according to your previous configuration.

  12. If you try to book the room type via Manual Booking or Agent portal for the specified period, it will not show up as available
